This Privacy Policy explains how SkoolPillar Plus — our app for teachers and school staff — collects, uses, and protects information.

Introduction

Who We Are & What This Policy Covers

SkoolPillar Plus is a staff-facing companion to the SkoolPillar school management platform, built for teachers and school staff. Your data is used only to deliver school services — never sold, never shared with advertisers.

SkoolPillar ("we", "us", or "our") is a school management platform based in Billawar, Jammu & Kashmir, India. SkoolPillar Plus is our mobile app for teachers and school staff, available on the Google Play Store, and is used alongside the main SkoolPillar student/parent app.

SkoolPillar Plus is published on the Google Play Store by Parshuram Skills Academy (OPC) Private Limited, the registered legal entity operating the SkoolPillar platform and the data controller referred to throughout this policy.

This Privacy Policy applies to the SkoolPillar Plus mobile application and all related services. By using the app, you agree to the practices described in this policy. This policy complies with the Google Play Developer Program Policies and India's Information Technology Act 2000 and Digital Personal Data Protection Act, 2023, which classes biometric data — including the face data described in the Face & Biometric Data section below — as sensitive personal data requiring your explicit, informed consent.

Data Collection

Information We Collect

All staff accounts are created by the school administrator — teachers cannot self-register. We collect only what is necessary to deliver each feature of the app.

SkoolPillar Plus collects the following categories of information. All school and student data is provided by and stored on your school's own server — we do not maintain a separate central database of school records.

Account & Identity

To authenticate you and secure your session

  • School-assigned staff username
  • Password (transmitted securely, never stored in plain text)
  • A device identifier comprising your device's operating system, model name, and a timestamp — generated on first launch, stored only on your device, used solely to bind your login session to your device
  • Staff/teacher ID assigned by your school
  • Your selected school's name and identifier, stored locally to connect the app to your school's server

Staff Profile

To display your school profile within the app

  • Full name, display name, and profile photo
  • Assigned classes, sections, and subjects
  • School email address and contact number (if provided by school)
  • Role (e.g. teacher, class teacher) as configured by your school
  • Other profile details such as gender, date of birth, parentage, qualification, and marital status, as recorded by your school

Financial Information

Used by your school for staff payroll purposes

  • Your bank account number, bank name, and IFSC code, as provided for salary disbursement
  • This information is stored on your school's own server and displayed in your profile — SkoolPillar does not process payments or transfer funds
  • Editable only by you or your school administrator; never shared with any third party

Student Records (View & Manage)

To let you carry out your teaching duties within the app

  • Student names, roll numbers, class, and section, for classes assigned to you
  • Academic marks and grades you enter or view for your students
  • Attendance records for your students
  • Homework, class announcements, and notices you create

Camera-Captured Data (QR / Barcode)

Used only at the moment of scanning — no images are stored

  • QR code content, scanned to mark your own attendance (check-in/check-out)
  • Barcode content, scanned to look up a student's profile
  • No photos or video from QR/barcode scanning are ever saved, stored, or transmitted — only the decoded text is used
  • Face-based attendance uses the camera differently and is disclosed separately below — see Biometric Face Data

Biometric Face Data (optional)

Only if you choose to enroll for face-based attendance

  • If you opt in, a mathematical face template and a set of face embeddings are generated from photos captured on your device during enrollment
  • This template/embeddings — not photos — are uploaded to and stored on your school's server, and are downloaded to other staff devices at your school so face matching can run locally on those devices
  • At check-in/check-out, your device performs the face match locally against the downloaded templates; only the resulting match score, a liveness result, and (only if your school enables GPS Guard for face attendance) your location are sent to the server
  • You may remove your face enrollment at any time from within the app, which deletes your template/embeddings from the server
  • Never used for any purpose other than marking your own attendance, and never shared outside your school's own server

Location Data

Used to verify your presence and prevent falsified attendance

  • Your device's GPS coordinates, captured only when you actively mark your own attendance (by QR code, GPS-only check-in, or face scan)
  • Location is compared against your school's registered premises to confirm you are on-site
  • Coordinates are stored as part of the attendance record on your school's server, so the school can verify where attendance was marked from and prevent fraudulent check-ins
  • Location is not collected in the background and is not tracked at any other time

Microphone-Recorded Data

Used only when you choose to attach a voice note

  • Voice notes you record and choose to attach to homework, announcements, or feedback
  • Recording only starts when you tap the record button and stops when you tap stop or confirm

Photos & Attached Files

Used only when you choose to attach a file

  • Images you select from your photo library to attach to homework or announcements
  • PDF and Word documents you select to attach to homework or announcements
  • We only access the specific file(s) you select — the app does not browse your library or files beyond what you pick

Device & Notification Data

To deliver notifications to your device

  • Push notification token (used to deliver school alerts to your device)
  • Device operating system and model name (associated with your push notification token to identify which device should receive alerts)

Technical & Usage Data

Automatically collected when the app connects to your school's server

  • IP address (transmitted with every request to your school's server; not stored separately by SkoolPillar)
  • Device operating system and version
  • App version number
  • Network connection type (Wi-Fi or mobile data)

We do not sell, rent, or share your personal data with any third party for commercial purposes. Your data is used solely to deliver school management services.

We do not collect contact lists, browsing history, advertising identifiers, or any behavioural tracking data. The app contains zero advertisements.

Data Usage

How We Use Your Data

We use the information collected solely to operate the SkoolPillar Plus app. We never use your data for advertising, profiling, or any purpose unrelated to your school's use of the platform.

Account & Identity

Authenticates your login and secures your session.

Financial Information

Your bank details are stored so your school can process salary payments. SkoolPillar does not process payments or transfer funds itself, and this data is never shared with any third party.

Camera (QR / Barcode)

Used exclusively to read a QR code for marking your own attendance, or a student's barcode for profile lookup. The camera feed is never recorded or saved — only the decoded code is processed.

Face & Biometric Data

Used only if you opt in to face-based attendance. Your face template/embeddings are stored on your school's server and distributed to staff devices at your school so matching can happen on-device. Used exclusively to verify your identity when you mark your own attendance — never for any other purpose, and removable by you at any time.

Location

Captured at the moment you mark your own attendance, to confirm you are within your school's registered premises, and stored as part of the attendance record to prevent falsified check-ins. Not used for any other purpose and not tracked continuously.

Microphone / Voice Notes

Used only when you actively record a voice note to attach to homework or an announcement. Recording requires your explicit action each time.

Photos & Files

Used only to attach the specific image, PDF, or document you select to homework or class announcements you create.

Student Records

Displayed and editable within the app strictly for classes and sections assigned to you by your school, to support your teaching duties (attendance, marks, homework).

Push Notification Token

Sent to our own server and used together with Expo's push notification service to deliver alerts from your school directly to your device.

Technical & Usage Data

IP address and device information are transmitted automatically as part of every request to your school's server. This data is not stored separately by SkoolPillar.

Android Permissions

Why We Request Permissions

We request only the Android permissions required to deliver the app's features. Here is a plain-English explanation of each:

Camera

Used to scan QR codes for marking your own attendance, to scan student ID barcodes for quick profile lookup, and — only if you opt in — to capture your face for face-based attendance. No QR/barcode photos or video are saved; see Face & Biometric Data for what face enrollment stores.

The following permissions are explicitly blocked and will never be requested: Contacts (read & write), Video Media, Audio Media (library browsing), Background Location, and Write External Storage. Files you attach are selected through your device's own picker — SkoolPillar Plus never browses your storage directly.

Biometric Data

Face & Biometric Data

Face-based attendance is entirely optional. If your school offers it, you choose whether to enroll — you can always use QR-code or GPS-only attendance instead, and can remove your face enrollment at any time.

When you choose to enroll for face-based attendance, the app captures a short series of photos of your face on your own device and derives a mathematical face template and a set of face embeddings from them — numeric representations of facial geometry, not photographs.

What is uploaded and stored:

  • Your face template, embeddings, and the embedding dimension are uploaded to and stored on your school's own server as part of your enrollment record.
  • Because face matching runs on the device doing the scanning (not on the server), your school's server also makes enrolled staff templates available to other staff devices at the same school, so those devices can compare a scan against enrolled templates locally.
  • The original photos taken during enrollment are used only to compute the template/embeddings and are not uploaded or retained after that computation.

What happens at check-in/check-out:

  • The scanning device captures your face and compares it, entirely on-device, against the downloaded templates.
  • Only the result of that comparison — a match score, a liveness (anti-spoof) result, and a pipeline/version identifier — is sent to the server, along with your GPS coordinates if your school has enabled location-based checks for attendance (including GPS Guard for face attendance specifically).
  • No photo or video from a check-in/check-out scan is uploaded or stored.

Your control over this data:

  • You can remove your face enrollment at any time from within the app, which deletes your face template and embeddings from the server.
  • Deleting your account also permanently deletes any face template/embeddings on file for you, per the Data Rights section below.
  • Your enrolled face data is never used for any purpose other than matching your own attendance at your school, and is never shared with any third party or used for training any model outside your school's own attendance system.

Face and biometric data is treated as sensitive personal data under India's Digital Personal Data Protection Act, 2023. By choosing to enroll, you provide explicit, informed consent to the collection, storage, and processing described above.

Media & Attachments

Files, Photos & Voice Notes

SkoolPillar Plus lets you attach images, PDF/Word documents, and voice notes to homework and class announcements, and lets you view files shared by your school or other staff.

When you attach a photo, you select it yourself from your photo library — the app does not access your library except for the specific image you choose. When you attach a PDF or document, you select it through your device's own file picker, which hands the app only the exact file you pick. Voice notes are recorded only when you actively start a recording and are attached only after you confirm.

Files you view that were shared by your school (such as homework attachments or printed result sheets) are opened for viewing purposes. Result sheets and report cards generated within the app for printing are created temporarily and are not uploaded anywhere beyond your school's server unless you choose to share or print them yourself.

SkoolPillar Plus never accesses your photo library, camera, or microphone silently or in the background — each is used only in direct response to an action you take, such as tapping "Attach Image," "Record Voice Note," or enrolling for face attendance.

Students' Privacy

Handling Student Data Responsibly

SkoolPillar Plus is used by school staff, not by students directly. However, as a teacher tool, it gives you access to student records, so we take our obligations around student data extremely seriously.

Google Families Policy Alignment

SkoolPillar Plus is built to align with Google Play's Families Policy expectations for apps that handle data belonging to minors:

  • No advertisements of any kind are shown in the app
  • No advertising or tracking SDKs are integrated
  • No behavioural profiling or interest tracking is performed
  • No in-app purchases are available
  • Staff accounts are created only by school administrators
  • Student data is only ever visible to staff assigned to that student's class or section
  • No social features, public sharing, or links to external social media

Scope of access: Teachers can only view and manage records for students in classes and sections assigned to them by the school administrator. Access to student records is not open-ended.

Parental rights: Parents wishing to review, correct, or delete their child's data should contact their school's administrator, who manages all student records, or email us at skoolpillar@gmail.com.

Data minimisation: Staff access only the student information the school already holds for administrative and academic purposes. No additional student data is collected beyond what is necessary for teaching and school management.

Security

How We Protect Your Data

We implement industry-standard security measures to protect your information:

  • Encrypted connections: All communication between the app and your school's server uses encrypted HTTPS. Unencrypted connections are not permitted.
  • Secure credential storage: Login credentials and session tokens are stored securely on your device using operating system-level protections. They are never stored in plain text.
  • Local profile cache: To enable faster loading and limited offline access, your profile data — including your name, contact details, and financial information used for payroll — is cached locally on your device. This local cache is cleared when you log out or delete your account, and is never transmitted anywhere other than your school's server.
  • Session management: Sessions expire automatically after inactivity and are tied to your device to prevent unauthorised access from other devices.
  • School-controlled data: All school and student data resides on the school's own server. SkoolPillar staff do not have access to individual school databases.
  • No stored camera output; location retained server-side only: Camera scans (QR, barcode, and face check-ins) are used transiently to complete an action and are never retained as photos or video. GPS coordinates used for attendance are not retained on your device after the check completes, but are stored as part of the attendance record on your school's server as described in the Location Data section above.
  • Face template storage and deletion: Face templates/embeddings, where you have opted in, are stored on your school's server (and distributed to staff devices at your school for on-device matching, as described in Face & Biometric Data) until you remove your enrollment or delete your account, at which point they are permanently deleted.

School offboarding: If a school ceases using SkoolPillar, all school data remains on the school's own server infrastructure. SkoolPillar holds no central copy of that data. The school is responsible for managing and deleting their own server data after their use of SkoolPillar ends.

Third-Party Services

External Services We Use

SkoolPillar Plus integrates with a minimal number of trusted third-party services to deliver core functionality. We do not use any advertising networks, analytics platforms, or data brokers.

  • Expo Push Notification Service (Expo Technologies, Inc.): Used exclusively to deliver push notifications from your school to your device. Your device's Expo push token and device type are sent to our own server, which then uses Expo's push notification service to deliver the alert to your device — no personal or academic data is shared with Expo.   • WhatsApp (optional, user-initiated): If you choose to share homework details via WhatsApp, the app hands the message content to WhatsApp using your device's own share function. We do not integrate with WhatsApp's servers directly and this only happens when you tap "Share."
  • Your school's server: The app communicates directly with your school's own backend server. The school is the data controller for all student and staff information, including any enrolled face templates.

We use no advertising networks, analytics SDKs, or social media SDKs beyond the optional, user-initiated WhatsApp share described above. Face matching itself runs entirely on-device using an on-device model — no third-party face-recognition service is used. The app is completely ad-free.

Your Rights

Data Rights & Account Deletion

You have the following rights regarding your personal data:

  • Access: You may request a copy of the data held about you by contacting your school administrator or emailing us at skoolpillar@gmail.com.
  • Correction: If any of your staff profile data is inaccurate, contact your school administrator.
  • Deletion: You may request permanent deletion of your account and all associated personal data at any time.
  • Restriction: You may request that we stop processing your data in certain circumstances.
  • Withdraw biometric consent: If you enrolled for face attendance, you may withdraw consent at any time by removing your enrollment from within the app, which deletes your face template/embeddings from the server immediately — you do not need to delete your entire account to do this.

How to delete your account:

You can submit an account deletion request directly through our dedicated deletion page at skoolpillar.com/account-deletion/, or from within the app via Profile → Account Deletion. You may also email skoolpillar@gmail.com with the subject line "Account Deletion Request" and include your username and school name. We will verify your identity and permanently delete your account and all associated personal data — including any enrolled face template/embeddings — within 30 days. A confirmation email will be sent when complete.

Alternatively, your school administrator can delete your account directly — this is often the fastest route.

Account deletion is permanent and irreversible. Your personal profile data — including your login credentials, contact details, financial information on file for payroll, and any enrolled face template/embeddings — is removed from the school's server. Student academic records you created or edited (e.g. marks, attendance) remain part of the school's official records and are retained by the school.

Policy changes: We may update this policy periodically. Material changes will be communicated via the app and by updating the "Last Updated" date above. Continued use constitutes acceptance.

Data retention: Your account data is retained for as long as you are employed at the school. Upon a verified deletion request, all personal data is permanently removed within 30 days.
